Job Duties
1. Serves visitors by greeting, welcoming, and directing them appropriately.
2. Notifies company personnel of visitor arrival.
3. Maintains security and telecommunications system.
4. Informs visitors by answering or referring inquiries.
5. Directs visitors by maintaining employee and department directories.
6. Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
7. Operates telecommunication system by following manufacturer’s instructions for house phone and console operation.
8. Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
9. Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
10. Contributes to team effort by accomplishing related results as needed.
11. Greet clients and visitors with a positive, helpful attitude.
12. Assisting clients in finding their way around the office.
13. Announcing clients as necessary.
14. Helping maintain workplace security by issuing, checking and collecting badges as necessary and maintaining visitor logs.
15. Assisting with a variety of administrative tasks including copying, faxing, taking notes and making travel plans.
16. Preparing meeting and training rooms.
17. Answering phones in a professional manner, and routing calls as necessary.
18. Assisting colleagues with administrative tasks.
19. Performing ad-hoc administrative duties.
20. Answering, forwarding, and screening phone calls.
21. Sorting and distributing mail.
22. Hiring, managing and developing the junior administrative team.
23. Provide excellent customer service.
24. Scheduling appointments.
